DEFINITIONS

Driver – An individual who has registered on the Platform and uses it to coordinate shared school journeys with other registered Users. Drivers do so on a voluntary and non-commercial basis.

Platform – A digital service (https://schoolruntracker.com/) that enables parents and drivers to connect for the purpose of coordinating shared school journeys. The Platform is not a transportation provider and does not participate in or assume responsibility for any shared school journeys.

User (or “Users”) – An individual who has registered on the Platform and uses it to identify or coordinate shared school journeys with Drivers for school runs.

1. PURPOSE

The Platform acts solely as an intermediary to enable communication and coordination between Users and Drivers. It does not provide, arrange, or control transportation services and shall not be considered a transportation provider. The Platform is not a party to any arrangements or agreements made between Users and Drivers. The Platform shall not be held responsible or liable for the actions, conduct, or omissions of any participating parties, including but not limited to Users and Drivers.

2. ACCEPTANCE OF TERMS

By using the Platform, Users and Drivers agree to be bound by these Terms and Conditions. If you do not agree, please refrain from using the service.

3. REGISTRATION AND USE

  • Users and Drivers must register with accurate, up-to-date information.
  • Drivers must provide valid identification (such as a full driving licence, ID or passport). Proof of vehicle insurance (including cover for passengers) and roadworthiness certificate should be sent directly to the parent(s) of the child(ren) involved in the school run. This communication must take place independently of the Platform.
  • The Platform may, at its discretion, verify or reject any registration.
  • Users and Drivers are solely responsible for conducting any checks or assessments they deem necessary regarding the other party before arranging or undertaking shared school journeys.

4. SERVICE OPERATION

  • The Platform exists to facilitate the voluntary coordination of shared school journeys among registered Users and Drivers.
  • Any shared school journeys arranged via the Platform are informal agreements between private individuals.
  • The safety and conduct of the shared school journeys are the sole responsibility of the Users and Drivers involved.
  • Location tracking and route sharing features are offered to support transparency and enhance user safety.

5. PAYMENT POLICY

  • Any financial contributions exchanged between Users and Drivers are facilitated via the STRIPE payment gateway integrated into the Platform.
  • Contributions are intended solely to cover shared costs such as fuel, energy, tolls, parking, and related expenses of the shared school journeys. They are not to be construed as payment for a transportation service.
  • The Platform applies a service fee per transaction, as well as any applicable fees charged by STRIPE.
  • Users will be informed of all charges before confirming a contribution.
  • Unsuccessful or delayed payments may result in the cancellation of a planned shared school journey.

6. COMPLAINTS POLICY

  • Incidents related to shared school journeys, Drivers, or passengers must be reported within [48] hours.
  • Users and Drivers can submit complaints via the support section of the app or by email: support@schoolruntracker.com
  • The Platform will investigate each case and may mediate between users if necessary.
  • In cases of serious or repeated misconduct or violation of these Terms and Conditions, Users and Drivers accounts may be suspended or permanently removed.

7. CANCELLATIONS, CHANGES AND RETURNS

  • Users are expected to cancel shared school journeys with reasonable notice.
  • Repeated last-minute cancellations may result in penalties or suspension of their access to the service.
  • When a payment is made, we place a hold/authorisation to ensure that SchoolRunner approves the request. If this does not happen (i.e. if SchoolRunner rejects the request or you wish to cancel it), we can issue a full refund of the withheld amount.

  • If the hold period (normally 7 days) has expired and schoolRunner has not accepted the request, we will automatically cancel it by refunding the full amount.

  • If schoolRunner accepts the request, the payment will be processed. From that point onwards, any cancellation by you will result in the loss of Stripe’s payment handling fee and SchoolRunTracker’s handling costs.

  • If the schoolRunner accepts the payment, it will be processed. If the schoolRunner then cancels before the booking starts, you will lose Stripe’s commission for payment management. However, SchoolRunTracker will discount this cost for the next booking.

8. LIABILITY

  • The Platform assumes no liability for incidents, accidents, delays, losses, or damages that may occur as a result of using the Platform or participating in shared school journeys coordinated through it.
  • The Platform is not liable for any false documentation provided. 
  • The Platform is not responsible for the verification or accuracy of documentation exchanged between Users and Drivers.
  • Drivers remain entirely responsible for the condition of their vehicle, their driving conduct, and the safety of any passengers involved in a shared school journey.
  • Users acknowledge that shared school journeys are informal arrangements and are undertaken at their own risk.

9. DATA PROTECTION

  • We comply with the UK General Data Protection Regulation (UK GDPR).
  • Personal data is processed solely for service-related purposes and will not be shared with third parties without explicit consent unless legally required.

10. MODIFICATIONS TO TERMS

We reserve the right to update these Terms at any time. Continued use of the Platform after changes constitutes acceptance of the revised Terms.

11. GOVERNING LAW AND JURISDICTION

These Terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of London.

DRIVER AGREEMENT & PLATFORM DISCLAIMER

1. Voluntary, Non-Commercial Rides

Drivers coordinate shared school journeys on a voluntary and non-commercial basis. Financial contributions from Users must only cover their proportional share of journey-related expenses such as fuel, tolls, or parking. These contributions do not represent payment for a transport service.

2. Platform’s Role and Business Model

The Platform is a for-profit technology service developed and operated by a private software company. Its role is limited to providing digital tools that enable Users and Drivers to coordinate shared school journeys. The Platform does not arrange or provide transportation, and is not a party to any private arrangements made between Users and Drivers.

3. Service Fee Explained

A service fee is applied to each transaction made through the Platform. This fee is charged to maintain and improve the digital service, including software development, server infrastructure, technical support, and safety features.
The fee is separate from the driver’s cost reimbursement and does not affect or increase the amounts Drivers receive.

4. Insurance Responsibility

Drivers are responsible for ensuring their vehicle insurance permits passenger transport in a cost-sharing context. The Platform does not verify individual insurance policies.

5. Acknowledgement

By registering, Drivers acknowledge they are not offering transport for hire and that they understand the Platform’s role as a digital coordination tool only.

Returns and cancellations

If a parent or schoolrunner cancels a payment—before or after the school journey takes place—the Platform and Stripe will retain their respective service fees. These fees are non-refundable and will be deducted from any refund processed.

This applies regardless of who cancels the journey or why it is canceled. The remaining balance (after deduction of applicable fees) will be returned to the paying party.

Important: Our platform fee covers operational costs including support, development, and processing infrastructure. Stripe applies transaction fees independently which we do not control or reverse.
